3. Why do we collect data for the register?

The Youth Academy offers free school visits, digital learning games, project support, educational materials, as well as webinars, training sessions, and events. We collect personal data based on the data subject’s consent, for example, through registrations and contact information.

Personal data is needed to enable our operations and to handle the data subject’s matters, such as game orders or training registrations. The data processed in the register may also be used to target communications and marketing related to the Youth Academy’s events, training sessions, and school visits, as well as for project reporting.

4. From whom do we collect data?

The registers are compiled from information provided directly by the participant or subscriber. We collect information from registration forms, order forms, and applications. The information collected from these forms may vary on a case-by-case basis.

Personal data is collected from the following individuals, among others: In addition, we also collect the public contact information of adults working at educational institutions so that we can communicate our free school-related services to these institutions.

Personal data is collected from the following individuals, among others:

  1. Those who have booked a school visit or an educational game
  2. Those who have ordered teaching materials
  3. Participants in webinars, training sessions, or events
  4. Applicants for project support
  5. Subscribers for the instructor newsletter and Note-messages

In addition, we also collect the public contact information of adults working at educational institutions in our registry so that we can communicate our free school services to these institutions.

5. Principles of Data Protection

All data is stored in the service provider’s databases, to which outsiders have no access. The databases are protected by a username and password. Data collected on paper forms is transferred to electronic format, and the paper forms are destroyed. The data is located on an external service provider’s server, which is technically protected by a firewall.

6. Who has access to personal data and to whom is the data disclosed?

The data in the registry is available to Youth Academy staff, and as a general rule, the data is not disclosed outside the Youth Academy. An exception to this applies to partners who comply with data protection legislation and with whom we carry out joint initiatives or projects. Data may be disclosed to such partners if necessary to implement a joint initiative, event, training, or other free service.

Ownership of the data is not transferred from the data controller to a third party, and the third party has no right to use the data beyond the scope of the assignment. Data may also be disclosed to third parties if compliance with the data controller’s legal obligations requires it.

7. Is data transferred outside the EU and EEA?

Data is not transferred to parties operating outside the territory of the European Union member states or the European Economic Area. However, data is stored in Microsoft’s Office 365 cloud services and, through them, potentially outside the EU and EEA.

8. How long do we retain personal data?

We retain personal data only for as long as necessary. Section 3 of the Privacy Policy defines the purpose of processing personal data.

9. No longer wish to receive emails from us?

Anyone in our marketing database can unsubscribe from our newsletter at any time by using the “Unsubscribe” link included in every message.
